As a Governance Assistant at HS2 you will support the Business Manager to develop, implement and improve the Phase One governance structure and reporting processes. This includes by providing a full range of secretarial and related services to the Phase one decision making forums.

About the role

  • Facilitate a high quality of decision making through all Phase One decision making fora and issue this information timely and accurately
  • Ensure that decisions made are communicated through accurate minutes for onward implementation, actions are appropriately tracked and attendance is measured.
  • Own the Phase One forward look and liaise with the Company Secretariat to ensure that future decisions are visible and on the forward agenda work with the Company Secretariat to ensure that the Phase Two governance processes and structures are aligned with the wider company.
  • Ensure that formal Terms of References for all Phase One decision making forums are in place and complied with. – These should be ToRs for which this role will be providing the secretariat.
  • Support the Senior Business Manager in continuous review of the Phase One governance arrangements and structures for effectiveness and efficiency
  • Ensure that the correct Phase One governance structures and arrangements are documented in the Phase One Governance Manual and regularly refresh the document to reflect any changes.
  • Assist the Business Manager in establishing any new standards and processes for the Phase One decision making forums.
  • Provide guidance and ensure that processes and delegations from Programme Directors and team managers are applied correctly, where appropriate.
  • Support other secretariats within Phase One to promote best practice in record keeping, review of papers and action tracking, facilitating training where appropriate.
  • Actively promote and embed Equality, Diversity and Inclusion (EDI) in all your work and support and comply with all organisational initiatives, policies and procedures on EDI.



 About You:

• Communication skills – including the ability to produce accurate minutes of meetings and reviewing the quality of submissions to decision making forums

• Stakeholder management skills -including the ability to develop effective working relationships across the organisation

• Workload management and ability to balance different priorities to meet deadlines

• Influencing and Negotiation Skills – including the ability to use a range of appropriate techniques and approaches suitable to different audiences

• Knowledge of Excel spreadsheets, MS Word and PowerPoint

• Knowledge of governance processes for large, complex organisations Type of experience:

• Experience in supporting governance processes for large, complex organisations with multiple stakeholders

• Experience in providing services to tight deadlines
