 THE OPPORTUNITY

The Technical Support team are an essential part of the Front of House service at DLA Piper. The team are responsible for audio visual support to both our internal customers and the business clients and for setting up meeting rooms and coordinating office moves.

We are looking for someone who will embrace our DLA Piper values and the client journey philosophies to help foster a motivated and exceptional client focused team that supports the business needs and vision.

MAIN DUTIES AND RESPONSIBILITIES

  • Work efficiently and collaboratively within the Property and Workplace team to deliver an exceptional experience to the firm and its clients, specifically in regards to meeting rooms
  • Be exceptional by ensuring meeting rooms are set up in a pro-active, accurate, and timely manner; ensuring the equipment is correct and works in accordance with the client’s needs
  • Ensure any movement of items within or between various floors is done so in a safe and organised fashion in line with the firm’s policy on manual handling
  • Take ownership to ensure that all portable equipment including laptops are secured in meeting rooms or locked away when not in use
  • Be supportive, attend any first fix IT / AV issues and general meeting room IT/AV requests in the client meeting room environment, including setting up WebEx’s, Vidcon’s, Telepresence meetings and addressing connection issues
  • Assist the setup of and connection of virtual meetings held in the office and by users connecting from home working across various platforms such as MS Teams, Skype and Zoom
  • Work in collaboration with colleagues in Property and Workplace team to ensure the smooth and efficient operation of the meeting room areas
  • Be attentive and react promptly to any queries, requests or problems and follow up to resolution
  • Ensure the facilities and meeting room areas are kept tidy at all times, and in excellent condition
  • Take ownership to report any maintenance or related problems to the appropriate department as soon as they become apparent and follow this up as necessary
  • Ensure any meeting room service level agreements are adhered to as a minimum
  • Ensure visitors and clients are greeted and dealt with in an efficient, courteous and responsive manner throughout the client journey, especially when addressing any technical issues or problems during a meeting
  • Respond promptly and reliably to general enquiries from all internal and external contacts
  • Collaborate with other members of the Facilities team and provide adequate cover in the absence of department staff
  • Read and understand the requirements of the firm’s Health and Safety policy and ensure that it is applied appropriately; set a leading personal example
  • Undertake ad hoc projects as directed
  • Professional approach embracing the company values to help build strong working relationships with colleagues, clients and users of our services
  • To attend company briefings, team meetings and training sessions as and when required
  • Follow all procedure and policies accordingly

ABOUT YOU

  • Good knowledge of audio visual equipment
  • Ability to coach individuals on current technologies
  • Able to prioritise effectively, working to sometimes conflicting timescales in a fast-paced and challenging environment
  • Highly organised with good administrative skills
  • You need to be an energetic and enthusiastic team member, who has the skills and knowledge to be able to work flexibly and autonomously within our fast moving and changing environment
  • Be collaborative with other business groups whilst building trust and rapport to develop effective relationships, internally and externally
  • Must be fully aware of the importance of client care and must be committed to delivering a high level of service, responding to client requests promptly and efficiently
