Full time starting salary is normally in the range £30,942 to £40,322, with potential progression once in post to £42,792

Job Summary

This is an exciting opportunity to join the Business Engagement (BE) team and support us to drive forward our vision to deliver a best-in-class service to our stakeholders.

The Contracts Officer will form part of the BE team, whilst working very closely with the Research Contracts Team, and take responsibility of a large and broad caseload of industry contracts relating to the University’s research work. This can range from direct industry collaborations, to multi-party collaboration agreements involving a number of partner organisations, through to commercially-funded clinical trials.

The post holder will also take responsibility for the BE team’s due diligence process.

The role will work across a number of Colleges and will work in partnership with Business Engagement Partners (BEPs) to liaise with lead researchers from the academic community and our industry partners to expediently manage and resolve contractual challenges. Where necessary, the post holder will liaise with governance and ethics colleagues to ensure the research is compliant with any appropriate regulations and has been subject to any necessary review. They will also liaise with the University accounts, procurement and treasury sections of the wider finance office to ensure the research work has been properly priced, procurement regulations are being observed, and that the scope of the research is covered by the University’s insurance policies.

The contracts officer will negotiate directly with external parties such as industry partners, sub-contractors and collaborators to obtain the best possible contractual terms for the University with regard to: safeguarding intellectual property; minimising risks and liabilities to individual researchers and the University; and ensuring regulatory compliance.

The post holder will be expected to organise and prioritise their own workload in response to requests from the Business Engagement Partners and the academic community. They will use initiative to identify solutions to contractual problems as they arrive, developing suitable responses to new situations in this expanding and changing field.

Main Duties

  • To deliver a high-level of customer/client service to external and internal stakeholders, demonstrating strong relationship management skills

  • Be able to work as part of a matrix management structure with BE and the Contracts teams

  • Draft, review, negotiate and approve contractual terms in University contracts to ensure optimisation of University position and minimisation of risk

  • Responsible for the due diligence process and support where necessary

  • Correspond with BEPs, academics, research officers, UoB Enterprise, industry partners, and other funders in relation to the transactions dealt with to settle terms and advise upon their meaning

  • Provide accurate succinct advice to instructing academics as to the contracts they wish to enter into and provide a contract summary at the end of a transaction recording key terms

  • Consult with colleagues in ethics and governance to ensure all appropriate approvals have been obtained in relation to projects to which contracts relate

  • Consult with colleagues in the Research Finance team to ensure costing of work is accurate and payment terms are correctly detailed in the contracts

  • Contribute to the regular review and update of University precedent contract terms

  • Maintain up-to-date files on Outlook and other systems as required

  • Maintain accurate records on the contracts database of the progress of contracts dealt with up to them being signed

  • Any other duties commensurate with the grading of the post as directed by the Manager.

Person Specification


  • Relevant degree

  • Demonstrated experience of drafting, negotiating and concluding a wide range and high volume of research contracts and/or hands-on academic research experience with knowledge of intellectual property and charitable objectives of the University

  • Excellent working knowledge of key research contract-related issued (e.g. intellectual property, publication, confidentiality, VAT, indemnities, liabilities)

  • A clear understanding for the need and practice of customer focus and customer relationship skills whilst using tact, diplomacy and the ability to influence and persuade a broad range of individuals

  • Ability to prioritise and manage a large, complex workload, taking ownership of a variety of tasks, managing and responding to shifting priorities, progressing numerous projects at any one time to deliver exceptional customer service at all times.


  • Experience of working in industry in a similar type of role

  • Law/ postgraduate research degree OR significant experience in an equivalent role/job

  • Experience of identifying and managing risks associated with negotiation of a wide variety of research contracts including EU, clinical trials, strategic agreements etc.

  • Strong interpersonal, verbal and written communication skills

  • High level of competency and knowledge of standard software packages e.g. Word, Excel, Access.
