Laing O’Rourke has a requirement for an Administrator/Document Controller to join our in-house specialist stone contractor, Vetter UK. For over 150 years Vetter has been the name behind some of the most prestigious landmark projects across the UK, including Heathrow T5 and T2, Scottish Parliament in Edinburgh, Bluewater shopping centre in Kent, Manchester Town Hall and Central Library, and Kirkstall Abbey in Leeds.

What duties to expect from the role?

On top of tasks such as scanning and uploading you will need to be organised to coordinate, arrange, record and review project collaboration training requirements. Please see main duties below.

  • Uploading documents to projects and internal Vetter workspace
  • Updating project issue transmittals
  • Update and upload operative and staff hour schedules weekly.
  • Monitor O&M progress on eDocs and close out any actions as necessary.
  • Set up new folders on internal Vetter Asite workspace.
  • Update and send weekly movements as per planner.
  • Ensure GAP is updated with relevant information.
  • Digital/manual archiving
  • Upload assurance reports on to Impact.
  • Run monthly reports on Impact, update I&W dashboard.
  • Assist in production and approval of project Information Standards and Methods & Procedures
  • Maintain project collaboration tool administration area.
  • Carry out QA checks on all published information/documentation in accordance with project document control procedure.
  • Resolve document issue queries.
  • Receive/check/distribute documents in accordance with project procedures/distribution matrix.
  • Provide project related help and support to all project users, internal and external.
  • Liaise with collaboration tool vendors on regular basis on all software issues.
  • Produce all reports in accordance with project requirements, both internal and external

What essential skills & experience are we looking for?

  • Document numbering knowledge to British standards ISO19650
  • Electronic Document Management Systems knowledge
  • Knowledge of syncing mobile devices
  • Microsoft office experience and general admin skills
  • Ability to set up and agreed Field View protocols
